The Municipal Executive Administration is one of the six administrations of Mjölby Municipality and serves as the secretariat for the Municipal Council, the Municipal Executive Committee, and the Election Board. With approximately 130 employees, we drive strategic issues across the organization, coordinate cross-municipal work, and support both the political leadership and other administrations. The administration consists of municipal leadership, finance and governance, HR and payroll, IT and digitalization, communication, as well as business and market.

We are looking for a temporary administrative assistant for the Municipal Executive Office's secretariat within the Municipal Executive Administration. As an administrative assistant, you will work closely with the two municipal secretaries of the secretariat, sharing responsibility for the Municipal Executive Committee's diary, preparation of matters for the Municipal Executive Committee, the Municipal Council, and other political forums. The overarching task is to ensure a high quality of the documents that form the basis for political decisions. The secretariat provides support in legal matters, including municipal law, administrative law, and freedom of information and secrecy law. Other matters the secretariat is responsible for include election administration, coordination of personal data, and object management of the municipality's case management system.

RESPONSIBILITIES

As an administrative assistant, you play an important role in the Municipal Executive Committee's case management process and contribute to ensuring correct and efficient document handling, both in physical and digital form. The position requires you to be present daily at the office.

Your main tasks include handling, registering, and distributing mail, registering and archiving cases and documents, as well as providing access to public documents. You will also work with election administration, such as administration regarding polling staff and polling places.

Other administrative tasks included in the assignment are purchasing, invoicing, and the registry for the audit office. The role also includes being the system administrator for the elected representatives' register Troman. During election years, the secretariat is responsible for the administration related to the conduct of elections, where you will have an active role.

QUALIFICATIONS

You have at least a 3-year upper secondary education in social sciences, economics, or equivalent, and a registrar education, administrative KY education, or higher education in public administration or other education/experience that the employer assesses as equivalent.

You have prior experience working as a registrar, administrator, or in a similar role and have a good understanding of the laws and regulations governing registration, diary management, and the release of public documents within public administration. You are familiar with digital tools and working methods. You have the ability to plan and organize your work. You are adept at setting goals, organizing resources, following up, and completing activities.

You are a service-oriented person who works independently and in a structured manner. Attention to detail, flexibility, and the ability to quickly adapt to new tasks are essential. You appreciate the value of following processes and guidelines, ensuring that everything is handled correctly and smoothly. We see that you have good collaboration skills and contribute to a positive work environment. You can follow instructions, procedures, statutory requirements, and policies while adhering to established timelines.

The position requires you to have very good knowledge of the Swedish language, both spoken and written, as it is important for you to interpret text content to ensure the handling of incoming and created documents.
